What we collect
We may collect the following information:
- name
- contact information including email address
- demographic information such as postcode, preferences and interests
- other information relevant to customer surveys and/or offers
For the PGN Trading App, a limited and separate set of data applies. Please refer to the dedicated “PGN Trading Ordering App” section below.
PGN Trading Ordering App (Google Play & App Store specific section)
This section specifically applies to the PGN Trading mobile ordering application (the “App”), available via the Google Play Store and Apple App Store. In case of any inconsistency with other parts of this privacy statement, this section prevails for App usage.
1. Data we collect and process
The App only processes the following personal data:
- Name of the user
- Organization/company name of the user
No other personal data (such as address details, email address, phone number or payment information) is collected, accessed or used by the App.
The App does NOT access, collect, use or share any sensitive personal data, including but not limited to:
- health data
- financial data
- location data
- contacts
- device identifiers
- any other special categories of personal data within the meaning of the General Data Protection Regulation (GDPR)
Use of the App may require a user account. In that case, login credentials and associated company information are processed solely for authentication and access to the App.
The App does not collect data in the background and only processes data actively provided by the user.
2. Purpose of processing
Personal data is processed exclusively for the following purposes:
- to identify the user
- to link and process orders within PGN Trading’s internal order management system
Personal data collected via the App is not used for marketing, profiling, analytics, or tracking purposes.
3. Data sharing and recipients
Personal data collected via the App is transmitted securely to PGN Trading’s internal order management system.
No personal data is sold or disclosed to third parties for commercial purposes.
Personal data may only be processed by third-party service providers acting on behalf of PGN Trading (such as hosting or IT providers), strictly for technical and operational purposes. These parties are contractually bound to confidentiality and data protection obligations.
4. Data retention
Personal data related to orders is stored only temporarily and is automatically deleted immediately after successful transfer to the internal order system.
This process typically occurs within minutes and in any case no longer than necessary for the purpose of processing the order.
User login data and associated company information are retained only for as long as the user actively uses the App.
5. Data deletion and user rights
Users have the right to request deletion of their personal data at any time.
Upon request, user account data (including login and company information) will be deleted without undue delay and in any case within a maximum period of 30 days.
Users can request deletion by:

- or using the support functionality within the App (if available)
After deletion, the user will no longer be able to access the App unless a new account is created.
6. Legal basis for processing
PGN Trading processes personal data for the App on the basis that processing is necessary for the performance of a contract (i.e. processing and fulfilling orders via the App).
7. Data security
PGN Trading implements appropriate technical and organizational security measures to protect personal data, including:
- encrypted data transmission (HTTPS)
- access controls to internal systems
- secure storage environments
8. No tracking or analytics
The App does not use tracking technologies, analytics tools, or profiling mechanisms.
No personal data is collected for advertising or behavioral tracking purposes.
What we do with the information we gather
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
- Internal record keeping.
- We may use the information to improve our products and services.
- We may periodically send promotional emails about new products, special offers, or other information we believe may interest you, using the email address you have provided.
- From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax, or mail. We may use the information to customize the website according to your interests.
The above uses do NOT apply to personal data processed via the App, as described in the App section.

How we use cookies
